1Excel asal mein karta kya hai
Socho ek dukaan ka register: kaunsa saamaan bika, kitne mein bika, kaun customer tha. Kaagaz pe total lagane mein time lagta hai aur galti bhi hoti hai. Excel wahi register hai, bas computer pe, aur total, average, percentage khud nikal deta hai.
Office mein Excel se ye kaam hote hain:
- Sales aur stock ka hisaab
- Staff ki attendance aur salary sheet
- Customer list aur follow-up
- Mahine ki report (MIS) boss ke liye
2Free mein Excel kaise chalayein
Tumhe Excel kharidna zaroori nahi hai. Teen free raaste hain, sab mein yahi course chalega:
- Excel for the web: Microsoft ka free online Excel. Bas ek free Microsoft account chahiye.
- Google Sheets: Google ka free spreadsheet. Gmail wala account kaafi hai. Phone app bhi hai.
- LibreOffice Calc: laptop pe install hone wala free software, bina internet bhi chalta hai.
Naukri ke liye Excel ka naam aata hai, par Google Sheets mein bhi lagbhag sab formulas same hain.
- Browser mein office.com kholo aur free Microsoft account se sign in karo (ya Gmail se sheets.google.com kholo).
- Excel (ya Sheets) pe click karo, phir "Blank workbook" (ya "Blank spreadsheet") chuno.
- Upar file ka naam likho: "Meri pehli sheet".
- Online version khud save karta hai. Laptop wale Excel mein Ctrl + S dabao.
3Screen ke hisse pehchano
- Ribbon: upar ki patti jisme Home, Insert, Formulas, Data jaise tabs hain.
- Cell: ek chhota dabba, jaise B3 (column B, row 3).
- Formula bar: cell ke andar kya likha hai, woh yahan dikhta hai.
- Sheet tabs: neeche Sheet1, Sheet2. Ek file mein kai sheets ho sakti hain, jaise register ke kai pannay.
- Kisi bhi cell pe click karo aur upar Name Box mein uska naam dekho (jaise C5).
- Neeche "+" pe click karke ek nayi sheet jodo, aur double-click karke uska naam "Practice" rakho.
Example: Ramesh ki kirana dukaan
Ramesh roz ki bikri copy mein likhte the aur mahine ke end mein 2 ghante total lagate the. Ab woh Excel mein roz ek line likhte hain: tarikh, saamaan, matra, rate. Mahine ka total ek click mein aa jata hai, aur unhe pata chal gaya ki sabse zyada doodh aur bread bikta hai.
Aam galtiyan
- File ka naam "Book1" hi chhod dena; baad mein file dhundhna mushkil hota hai.
- Laptop Excel mein save kiye bina band kar dena. Aadat daalo: har 5 minute mein Ctrl + S.
- Ek hi sheet mein sab kuch bhar dena. Alag kaam ke liye alag sheet banao.
Practice task
Free Excel ya Google Sheets kholo. "Practice" naam ki file banao, usme do sheets rakho: "Kharcha" aur "Bikri". Dono ke A1 cell mein uska naam likho.

Excel is a digital register that also does the maths for you. Almost every office (accounts, HR, sales, operations) uses it every day. By the end of this lesson you will open Excel and save your first file without spending a rupee.
1What Excel actually does
Think of a shop register: what was sold, for how much, to whom. Adding it up on paper takes time and mistakes creep in. Excel is the same register on a computer, and it works out totals, averages and percentages for you.
In offices Excel is used for:
- Sales and stock records
- Staff attendance and salary sheets
- Customer lists and follow-ups
- The monthly report (MIS) for the manager
2How to use Excel for free
You do not have to buy Excel. There are three free options, and this whole course works in all of them:
- Excel for the web: Microsoft's free online Excel. You only need a free Microsoft account.
- Google Sheets: Google's free spreadsheet. Your Gmail account is enough. There is a phone app too.
- LibreOffice Calc: free software you install on a laptop; it works without internet.
Job ads say "Excel", but almost every formula works the same way in Google Sheets.
- Open office.com in your browser and sign in with a free Microsoft account (or open sheets.google.com with Gmail).
- Click Excel (or Sheets), then choose "Blank workbook" (or "Blank spreadsheet").
- At the top, type a file name: "My first sheet".
- The online versions save automatically. In laptop Excel, press Ctrl + S.
3Learn the parts of the screen
- Ribbon: the strip at the top with tabs like Home, Insert, Formulas, Data.
- Cell: one small box, like B3 (column B, row 3).
- Formula bar: shows what is inside the selected cell.
- Sheet tabs: Sheet1, Sheet2 at the bottom. One file can hold many sheets, like pages in a register.
- Click any cell and look at the Name Box at the top left to see its name (for example C5).
- Click "+" at the bottom to add a new sheet, then double-click it and rename it "Practice".
Example: Ramesh's grocery shop
Ramesh used to write daily sales in a notebook and spent 2 hours adding up the month. Now he types one line a day in Excel: date, item, quantity, rate. The monthly total takes one click, and he found out that milk and bread sell the most.
Common mistakes
- Leaving the file name as "Book1"; later you cannot find it.
- Closing laptop Excel without saving. Build the habit: Ctrl + S every 5 minutes.
- Putting everything on one sheet. Use a separate sheet for each job.
Practice task
Open free Excel or Google Sheets. Create a file called "Practice" with two sheets: "Expenses" and "Sales". Type the sheet's name in cell A1 of each.
